01.01 We at Texas State are committed to supporting the educational mission of the institution through efficient information storage and retrieval, appropriate auditing procedures, professional personnel services, and a safe environment. The following procedures contribute to the fulfillment of this policy.
01.02 A Years of Service Awards ceremony will be held annually to express appreciation to all faculty and staff personnel who have served the University in full-time, cumulative employment for a minimum of ten (10) years.
02.01 The awards will be given in five-year increments beginning with ten (10) years.
02.02 The recognition will be in the following manner:
a. All 10-year and 15-year honorees will receive a pin and a signed certificate.
b. All 20-year honorees will receive a pin with a topaz stone and a signed certificate.
c. All 25-year honorees will receive a pin with a ruby stone and a signed certificate.
d. All 30-year honorees will receive a pin with a sapphire stone and a signed certificate.
e. All 35-year honorees will receive a pin with an emerald stone and a signed certificate.
f. All 40-year-plus honorees will receive a pin with a diamond stone and a signed certificate.
02.03 The Director of Special Projects will order and purchase all pins and certificates for honorees.
03.01 The awards ceremony will be combined with the retiring faculty and staff recognition (See UPPS No. 04.04.53 "Honors and Benefits for Retired Faculty and Staff") and will be held in late April or early May.
03.02 In addition to recipients, the President, the Vice Presidents, and the entire University family will be encouraged to attend and participate in this tribute to their colleagues.
03.03 A President's reception will be held immediately following the awards presentation and recognition of retiring faculty and staff.
03.04 The Director of Special Projects and the Director of Media Relations and Publications will coordinate plans for the pictures to be taken at the awards ceremony.
04.01 The Director of Special Projects will prepare the budget package for all activities associated with the awards ceremony/retiring faculty and staff recognition and insure that the budget compares reasonably to previous events' budgets.
*04.02 The Director of Special Projects will forward a budget package by July 1 to the Assistant to the Vice President for Finance and Support Services for his/her approval and he/she will submit a copy of the budget to the President for approval.
*04.03 The President will compare the budget with that of previous years and will modify and/or approve the budget and recommendations and return one (1) copy to the Director of Special Projects and forward another copy to the Assistant to the Vice President for Finance and Support Services.
05.01 The Director of Special Projects will see that a calendar for activities is prepared for preparation, conduct, and follow-up of each awards ceremony.
05.02 The Director of Special Projects will prepare the suggested program, calendar, and other recommendations by February 15 to be approved by the President.
05.03 After approval has been granted, the Director of Special Projects will then assume responsibility for coordinating all activities associated with the event.
05.04 The Director of Media Relations and Publications will work with the Director of Special Projects in the coordination of the planning and production of the program and the coordination of all related news releases.
06.01 The Director of Special Projects will request from the Director of Personnel a printout (or list) of all eligible employees during the first two (2) weeks in January.
*06.02 Administrative heads, upon request by the Director of Special Projects prior to January 15, will review the files of their employees and submit a list of eligible employees to Special Projects by February 15.
*06.03 The Director of Special Projects will submit to administrative heads a report of any discrepancies between administrative heads records and Special Projects records.
07.01 By March 1, the Director of Special Projects will request names of hosts/hostesses from divisions/departments having the largest number of honorees in the 20-year plus category and others if needed, to be submitted to her by March 15.
07.02 By April 10, the Director of Special Projects will notify the hosts/hostesses of their specific roles for the event.
08.01 By May 10, the Director of Special Projects will see that all appropriate correspondence, budget comparisons, evaluations, etc. are accomplished.
